Article 1: ACCEPTATION PREALABLE

The present regulations define the terms and conditions under which PLACE KEY75 premises provide its customers with a meeting space as well as associated services.

Access to the meeting premises and their use imply full acceptance and respect of these regulations. The regulations are subject to change, without notice, on suggestions from users of the premises.

Customers must, after having read them, respect these regulations in the exercise of their rights and obligations. Acceptance of the regulations is evidenced by the electronic signature of the user who undertakes to make these regulations known and respected to all his colleagues and guests.

Any reservation to these regulations is considered unacceptable and therefore null and void. The customer who does not agree to be bound by these regulations cannot therefore use the premises or benefit from the services.

Article 2: USE OF THE PREMISES AND ASSOCIATED SERVICES
  1. ACCESS TO PREMISES

The premises are accessible Monday to Friday from 9h00 to 18h00. The signatory of the contract is responsible for ensuring that no person outside the meeting participants and invited speakers access the premises and that the premises are respected, they must be the last person to leave the premises, must check that the windows are closed, turn off the lights and ensure that the doors are locked when leaving. They will be solely responsible.

In order to facilitate the organisation and security of the venues, a list containing the name, first name and contact details of each participant and guest must be sent to the venue provider prior to the meeting.

  1. PARTICIPANTS AND VISITORS

Participants and visitors must report to the service provider. When the customer welcomes a visitor, they undertake that this will not disturb the calm or the organisation of the premises. Visitors are under the full responsibility of the signatory of the contract who invited them and must respect the present Internal Regulations. The list of participants and/or visitors to the meeting must be provided to the service provider in advance.

  1. RESERVATION AND USE OF MEETING ROOMS

You can use the reserved meeting space according on the agreement made and the services contract signed. The other rooms must remain available and cannot be used as a private space. They can be used by participants if previously agreed with the service provider for one-off uses and limited to a maximum of time agreed; for longer use, it can be reserved as an additional service (subject to availability).

  1. SAFETY AND SECURITY

Access to the premises is free during established opening hours (9h00-18h00).

Outside of these hours, the premises are only accessible to participants on agreement. Access is then governed by the agreement signed by the customer.

In order to guarantee the safety and security of all participants and visitors of Place Key75 and furniture, equipment and decoration present inside, it is prohibited to communicate access codes and give the keys to a third party, not even to people claiming to know the premises (unless specific information has been previously received by the service provider).

  1. STORAGE ROOM

A place to leave suitcases and coats is made available to participants to allow them to declutter the meeting space during the day. However, objects which are placed in these lockers or left elsewhere on the premises of PLACE KEY75 are done so at the risk of their owner.

  1. INTERNET

Participants will be able to use the Internet via a WIFI code (provided upon arrival). Participants undertake not to use the network made available to carry out illicit activity and not to exploit the bandwidth in a way that could harm the activity of other participants.

  1. PRINTER-SCANNER

For participants, use of the printer is included in the contract, they are however asked to use it reasonably and moderately, from an eco-responsible perspective, and it is expected that the machine is used with care. In the event that the machine is damaged, the customer who endorsed the agreement will be held responsible.

  1. BREAKS & MEALS

Consumables (water, tea, coffee, sugar, cookies, etc.) are made available by the service provider. They are to be consumed on site and in a reasonable manner.

Participants who wish to take a coffee break or lunch on site will have their coffees and meals in the assigned space (or in the relaxation area in the basement if available).

Participants will make sure to leave the premises clean after use. Cups, glasses, cutlery, plates, a coffee maker, a teapot, a microwave, and a refrigerator are made available to participants. Participants undertake to leave everything clean, orderly and the equipment in good condition after use. Thorough cleaning will be provided after participants’ departure and is included in the contract.

  1. FOOD, DRINK, ALCOHOL

To maintain maximum cleanliness in the premises provided, it is recommended to eat in the relaxation area (if available), rather than the meeting room. Consumption of drinks is allowed, taking care not to damage the electrical equipment and decorative objects present.

Alcohol consumption is prohibited outside of meetings, events and activities organised with the agreement of the service provider and according to the signed contract. Waste from these uses must be sorted according to their destination.

A coffee machine, a fridge and a dishwasher are available to participants in the kitchenette. Be careful not to saturate them, not to leave any spoiled food in the fridge, nor dirty dishes. Items considered unsanitary will be thrown away (including the container).

Article 3: RESPECT FOR PEOPLE AND PREMISES
  1. STORAGE and CLEANLINESS

Cleaning of the common areas of the building is included in the services. However, participants are invited to respect the cleanliness of these spaces, in particular by leaving the communal (entrance, cloakroom, relaxation area, kitchenette, and toilets), meeting and workspaces clean, tidy and ready for use after each use.

  1. PHONE, APPOINTMENTS, DISCUSSIONS

Visitors are expected to remain as quiet as possible within the meeting rooms and other spaces and to maintain an atmosphere favourable to the concentration of other participants: they should ensure to put their phones on “quiet” mode, with phone calls to be taken outside the meeting room. They should aim to respect a reasonable noise level.

  1. RESPECT FOR EQUIPMENT

Participants commit to respect the cleanliness and good working order of the equipment made available (furniture, equipment, decorative objects, etc.) and to report any incident or any anomaly in the operation of the machines and equipment.

  1. CIGARETS AND E-CIGARETS

The meeting space, like the entire building, is entirely non-smoking. Smokers can go out on the street or in the back garden to smoke, however they are asked not to throw cigarette butts on the ground, but to extinguish them conscientiously and put them in the ashtrays provided.

  1. HYGIENE MEASURES (COVID 19)

When required, participants are asked to respect the following measures:

  • Hand disinfection on arrival and after each meeting and regularly
  • Require visitors to follow these same obligations upon their arrival
  • Wearing a mask is compulsory in the premises when imposed by the government

The premises are cleaned after use, keep them clean in your own interest and that of others.

Article 4: ECORESPONSABILITY

In a spirit of environmental responsibility, PLACE KEY75 invites its customers to pay particular attention to the following points:

  • Reduction in paper consumption
    • Print only the essential documents and the right number corresponding to the participants
    • Favor double-sided and black and white printing
    • Favor digital shipments when possible
  • Reduction in water consumption
    • Use low flow flushes when possible
    • Use cold water to wash your hands
    • Do not let the tap run unnecessarily
  • Reduction of electricity consumption
    • Turn off lights in offices and meeting rooms when not in use
    • Turn off the lights in common rooms when the premises close
    • Avoid unnecessary printing and unplug your devices after charge
  • Reduction in heating energy
    • Heating is set to ensure a space temperature of 20°C; put on a sweater if you are cold
    • Do not heat the premises unnecessarily
  • Sorting of waste
    • Use the various bins provided to respect sorting (paper/cardboard/plastic)
    • Attempt the “mini waste” objective (by producing as little waste as possible)
  • Gentle movements and smooth mobility
    • Think about the people who live below and around, speak normally, without raising your voice
    • Think about gentle travel, use public transport, carpooling, cycling…
    • PLACE KEY75 is close to the city center so it is accessible on foot.
